This Privacy Statement governs the processing of your personal data in connection with the use of our website (InnoVentiv.com) and related services. These operations are always carried out by InnoVentiv Europe SRL, the data controller, whose registered office is at Avenue Charles-Quint 584, 1082 Brussels, and whose company number is 0783.845.320.

Protecting the personal data of customers and visitors is of paramount importance to InnoVentiv Europe. That is why we do our utmost to ensure data protection and always comply with the General Data Protection Regulation (GDPR) when processing your personal data.

More specifically, InnoVentiv Europe will always legally process personal data for specific purposes. We will take steps to ensure that we never request more personal data than is necessary to fulfil the purpose, or retain personal data for longer than is necessary. Finally, InnoVentiv Europe adopts technical and organisational measures to ensure adequate protection of personal data.

2. InnoVentiv Europe SRL

InnoVentiv Europe is a company specialising in the development of medical technologies for hospitals:

– InnoVentiv Europe supports you with a specialised portfolio of products, software, services and medical accessories in selected medical fields to provide a total tailor-made solution.

– InnoVentiv Europe helps you to install and maintain the equipment correctly, and to repair it if necessary. The solutions are integrated into your IT platform.

In this context, InnoVentiv Europe handles personal data, both that of our employees and that of our candidates and customers. InnoVentiv Europe is responsible for this data and for processing it in accordance with the legal requirements in force.

3. Personal data

In accordance with the regulations in force, personal data means any information relating to an identified or identifiable natural person (“the data subject”); an “identifiable natural person” is one who can be identified, directly or indirectly, in particular by reference to an identifier, such as a name, an identification number, location data, an online identifier, or to one or more factors specific to his or her physical, physiological, genetic, mental, economic, cultural or social identity.

We define the processing of personal data as an operation or set of operations on personal data or a set of personal data, whether or not carried out by automated means, such as collecting, recording, classifying, structuring, storing, updating or modifying, requesting, consulting, using, communicating by sending, disseminating or otherwise making available, aligning or combining, protecting, erasing or destroying data.

Personal data includes, for example, a name, address or e-mail address, but also your IP address.

3.1 What personal data do we process?

InnoVentiv Europe will only process identification data (first name, surname, telephone number, email address) in order to communicate via email, via the contact form on the website or directly with one of our employees during a telephone contact. As part of the assessment of an application, we will also process data on your educational background, training and professional experience. In addition, we may process images of you based on camera surveillance.

3.2 Why do we process your personal data?

InnoVentiv Europe will only use your personal data to communicate in the context of a business relationship.

3.2.1 Billing and administration

InnoVentiv Europe collects data for billing and administration purposes in order to fulfil its administrative obligations, in particular the billing of the services provided to the customer or the performance of our accounting obligations required by law. InnoVentiv Europe is required by law to retain such personal data for seven years.

3.2.2 Recruitment and applications

In the context of recruitment, we collect data from people who apply for a job with us, whether unsolicited or not. This may take the form of the jobs section on InnoVentiv.com, messages on LinkedIn, emails or other clear actions where an applicant indicates an interest in applying.

This personal data is deleted one month after the application if the applicant is not recruited. If the person is recruited, this data will be included in the personnel file and will be kept for up to five years after the end of the employment contract. If the person is not recruited, but nevertheless has an interesting profile, the candidate will be placed on the recruitment reserve for one year, provided that the recruitment reserve has given its authorisation.

This personal data will be deleted one month after the application if the candidate is not recruited. If the person is recruited, this data will be included in the personnel file and will be kept for up to five years after the end of the employment contract. If the person is not recruited, but nevertheless has an interesting profile, this candidate will be placed on the recruitment reserve for one year, provided that the recruitment reserve has given its authorisation.

3.2.3 Requests for information

The personal data that we collect on InnoVentiv.com or via info@innoventiv.com is used to respond accurately and appropriately to your questions;

This information is recorded in our customer system so that we can provide you with even better services in the future.

In order to fully process your requests for information, we retain your personal data for as long as you remain a customer of ours. If you are not an InnoVentiv Europe customer, we will delete this data six months after we have answered your question.

3.2.4 Keeping in touch with you

We consider it essential to maintain a good relationship and good communication with all our customers. This is why we will contact you to inform you of useful offers/promotions, innovations and new products that you may find interesting.

InnoVentiv Europe will process personal data in the context of this activity on the basis of its legitimate interest. If you receive this communication from us, you can always indicate that you no longer wish to receive it.

3.2.5 Camera surveillance

InnoVentiv Europe has installed surveillance cameras in certain places to protect the physical integrity of visitors and employees. These cameras do not always retain images, but in some cases only provide a snapshot. InnoVentiv Europe collects this data on the basis of its legitimate interest in ensuring everyone’s safety.

Images are kept for a maximum of 30 days. In the case of non-recording cameras, the images are logically not stored.

3.3 Do we share your personal data with third parties?

InnoVentiv Europe will not share your personal data with other parties who may use it for their own purposes.

InnoVentiv Europe uses a number of sub-contractors: these are parties who can only process your data for the purposes we define. Under no circumstances may they process your personal data for their own purposes.

InnoVentiv Europe will take all necessary steps to process your personal data only within the European Economic Area.

4. What are your rights and how do you exercise them?

4.1 Access to your personal data.

You are entitled to consult all the personal data that we process about you. You may also obtain a copy, which we will send to you in paper or digital form. To do so, please contact us by sending an e-mail to info@innoventiv.com.

4.2 Correction of your personal data.

You have the right to ask us to amend your personal data if it is not accurate or complete. You may also request that we temporarily refrain from using your personal data until it is accurate or complete. To do so, please contact us by sending an e-mail to info@innoventiv.com.

4.3 Withdrawal of your consent.

You have the right to withdraw your consent at any time. To do so, please contact us by sending an e-mail to info@innoventiv.com.

4.4 Deletion of your personal data.

You are entitled to request the deletion of your personal data if it is no longer required for the purposes of this privacy statement or if you withdraw your authorisation for processing. To do so, please contact us by sending an e-mail to info@innoventiv.com.

Please note: We are not obliged to delete your personal data if this is required or permitted by law.

4.5 Portability of your personal data.

You have the right to receive your personal data in a universally readable format such as a text file or other digital file.

4.6 Objecting to the processing of your personal data.

If you consider that we are not using your personal data correctly, you may object to such processing, such as processing in connection with newsletters, marketing or other operations that are not necessary in the context of our professional relationship.
